COMMUNITY FUNDRAISING AGREEMENT
Between [SPONSORING INDIVIDUAL OR ORGANIZATION NAME] ("Sponsor")
And BC Children’s Hospital Foundation ("Foundation")
This Agreement outlines the terms and conditions under which the Sponsor may host an independent fundraising event or initiative (“Event”) in support of BC Children’s Hospital Foundation.
- Event Purpose and Role of Sponsor
The Sponsor agrees to plan, promote, and implement an independent fundraising event, with all proceeds to benefit the Foundation. The Sponsor is solely responsible for all aspects of the Event, including expenses, promotion, staffing, and execution.
- Use of Foundation Name and Branding
The Sponsor may only use the Foundation’s name, logo, or other brand assets with prior written approval. Use of the Foundation’s name must be limited to the form:
"In support of BC Children’s Hospital Foundation".
The Foundation reserves the right to review and approve all promotional and communication materials prior to distribution.
- Financial Responsibility and Proceeds
All financial aspects of the Event, including collection of funds, payment of expenses, and any banking arrangements, are the sole responsibility of the Sponsor. The Foundation will not be responsible for any Event-related costs or liabilities.
All net proceeds from the Event must be remitted to the Foundation within 30 days of the Event date. Cheques must be made payable to “BC Children’s Hospital Foundation.”
- Receipting and Compliance with CRA Regulations
The Sponsor agrees to follow all Foundation receipting policies, which are designed to ensure full compliance with Canada Revenue Agency (CRA) guidelines. The Sponsor may not issue tax receipts. If donors request tax receipts, the Sponsor must consult with the Foundation in advance and follow the required process and documentation standards. The Foundation reserves the right to determine which donations are eligible for charitable tax receipts.
- Permits, Insurance, and Legal Requirements
The Sponsor is responsible for obtaining all required permits, licenses, and insurance related to the Event. The Foundation assumes no legal or financial liability for the Event or its related activities.
- Staffing and Volunteers
The Sponsor will provide all staff and volunteers necessary for the planning and execution of the Event. The Foundation will not provide staff or volunteer support unless specifically agreed upon in writing.
- Mailing Lists and Donor Privacy
The Sponsor agrees to use its own mailing lists or communication channels for Event outreach. Under no circumstances will the Foundation share its donor or mailing lists. The Sponsor also agrees to protect the privacy of any individuals who provide personal or financial information in relation to the Event.
- Recognition and Acknowledgment
The Foundation will provide donor recognition in accordance with its Donor Recognition Policy, based on the total net proceeds received from the Event.
- Right to Withdraw Association
The Foundation reserves the right to withdraw its support or the use of its name at any time if the Event or its conduct is deemed to conflict with the Foundation’s mission, values, policies, or reputation.
- Event Cancellation
In the event that the Sponsor cancels the Event, they must notify the Foundation in writing as soon as possible and no later than the original scheduled date.

Canada Revenue Agency (CRA) policies govern the tax receipting abilities of BC Children's Hospital Foundation.
CRA policies require that tax receipts are issued only for donations that legally qualify as gifts. A gift is defined as "a voluntary transfer of property without valuable consideration to the donor". E.g. The purchase of raffle tickets or merchandise cannot qualify for a tax receipt. In these cases, the purchaser has received valuable consideration.
Additionally, tax receipts cannot be issued in a name other than the name of the true donor. E.g. Funds raised at an event cannot be tax-receipted to one specific individual. The true donors that contributed must be the recipients of the tax receipt.
